Key Roles:

  • Comply with Quality, Health, Safety and Environment (QHSSE) system requirements to ensure all activities within own control are executed with good quality and safe manner.
  • Responsible for managing and maintaining good document control systems to ensure all information necessary for Pendinginan Megajana are properly managed, updated and readily accessible.
  • Responsible for managing document segregation, files quick reference contents, reference centre, make a presentable document centre layout and document searching or indexing system.
  • Responsible for maintaining and updating documentation requirement for PMSB ISO review, management meeting, internal or external auditing and certification.
  • Responsible to set up e-library and archive system for PMSB documentation.
  • Lead/conduct Internal Quality Audit.
  • Lead as custodian to ensure PMSB documentation management system requirements are fully complied.
  • Coordinate the maintenance (up-to-date/relevance) of documentation process of Quality Manual, Policy and Standard Operating Procedure (SOP) and control of obsolete files.
  • Report on performance of management systems to Management for review as basis for continual improvement.
  • To become secretariat on meetings when and as required by the Management, including reporting, documentation and follow-ups of action plan.
  • To be involved in daily operational meetings to coordinate, report, track and its related documentation.
  • To undertake any additional assignment as instructed by the Company.


  • University degree, preferably in Quality related qualifications
  • Minimum 5 years of working experience in a similar role in Quality Management System, control and record management


  • Strong analytical and knowledge in document control, management processes and standards, ISO standards, process improvement and continual improvement;
  • Pleasant personality, with good written and verbal communication and interpersonal skills;
  • Mature, proactive, take initiative and well organized;
  • Systematic and able to work under pressure;
  • Meticulous and able to follow through with tasks promptly;
  • Able to work independently as well as in a team;
  • Proficient in MS Office applications (Excel, Words and PowerPoint) is a must and knowledge in using document control software is advantageous
